Exhibitor Terms and Conditions

 Welcome to the ‘Me-time’ Festival.  We can’t wait to for you to be part of this day with us. 

These are the official Terms and Conditions (the “T&Cs”) for the ‘Me-time’ Festival, hosted by Inspire-Rewire (“Hosts”).

By registering and participating in the Festival, the Exhibitor (“Exhibitor”) agrees to be bound by the following T&Cs. 
 
The ‘Me-time’ Festival
Inspire-Rewire is hosting this one day ‘Me-time’ Festival, a health and wellness festival attracting consumers and local businesses and offering “Services” and products as “Exhibitors”. The Festival times are 10am – 6pm. 

The Venue

Cheshire View is a corporate and event facility. The hosts Inspire-Rewire have hired the whole of the venue for the festival (Sunday 28th June) and will be operationally supported by the event facilities staff and team, working to their H&S, public liability and event licences. 

Who is Eligible to Exhibit
The Festival “Exhibitors” will be individually selected, through an application form to those who:

  • Are a registered practitioner, coach, speaker, therapist, sole trader or small local independent business within the wellness industry

  • Are qualified, registered within your area of wellness and be able to provide the correct insurances, qualification and affiliations

  • Be located within the North West or North/Mid-Wales.  We are aiming for local businesses but those further out from Chester will be considered

 

Event Booking Details

All bookings will be regarded as provisional until a signed copy of these Terms & Conditions has been received from the exhibitor.

All application forms must be completed in full, in order to be considered for the Festival

Full payment is required within 10 days of the application, along with confirmation of the “Service” you’ll be providing. The Host is not under any obligation to continue holding provisional bookings beyond the given option date (usually 10 working days from the time of booking), if these have not been received. 

Additional Costs – any additional costs for tables, should be paid at the same time as the Festival exhibitor payment. £7 for a 3ft table and £10 for 6 ft. We cannot guarantee a table if ordered at short notice.

Methods of Payment

Payment will be required via ‘Bank Transfer’ the host will provide this information at the point of confirmation.  Details will be provided at point of payment

It is strictly the responsibility of the representative of the “Exhibitor” to confirm the booking to inform all relevant parties of the payment terms, as set out by The Host.

The festival stall/speaker session is priced per person. Helpers cannot enter for free as we cannot monitor who is working their stand and who is entering the events themselves.

Cancellation

Once booking confirmation and payment has been made, this payment is non-refundable.

If for any exceptional reason you are unable to attend, please email info@inspire-rewire.com and we’ll review on a case by case basis. 

Should the Festival be cancelled by the Host  – a refund for the Exhibitor payment will be returned, however if the festival is postponed and rescheduled for a future date there will be no refunds and your booking will automatically move across to the new date. This is extremely unlikely.

Force Majeure

The Host shall not be liable for any failure to perform any of its obligations if the delay or failure results from events or circumstances outside its reasonable control, including but not limited to acts of nature (other than one arising from or related to directly or indirectly from volcanic ash), strikes, lock outs, lockdowns accidents, war, fire.

Liability

At the Festival the ‘Services’ that you the Exhibitor offer to festival guests are performed at your risk and under your supervision/guidance. As such neither the Host or the venue shall be liable for any damage, loss, injury caused to either the you the Exhibitor or the festival guests, except insofar as it results from the negligence of the Host or venue, or breach of contract. Please note that during Festival and on certain ‘Services’ it may be necessary, and we recommend to, request for festival guests to sign a liability waiver or disclaimer forms. It is imperative all Exhibitors have their own Public Liability insurance.

Governing Law

These Terms and Conditions shall be governed by and construed in accordance with the law of England and the parties hereby submit to the exclusive jurisdiction of the English courts.

Programme Changes

Whilst every effort is made to ensure that the full, advertised facilitators and stalls are available on the day, the host reserves the right to change the published timetable and/or running times without notification. This includes, but is not limited to, advertised tutors, classes, workshops & speakers. 

Facilitating ‘Services’ on the Day

The festival guests will be able to book ‘Services’ on the day to make it accessible for those without internet access, or whom may need extra support, hence why we are also not providing VIP tickets - to ensure all have a fair opportunity.  

If you are offering a ‘Services’ and there is an additional cost to the festival guest, any payment will be made directly between you the Exhibitor and ‘Service’ provider and the customer. 

All paid for ‘Services’ must have a price list on show at all times. It must also be clear how festival guests can make payment (Please note there is no cashpoint at the festival). 

If you are offering an Experiential drop-in or workshop, we do appreciate materials and information cost to produce. You may leave a donation jar out to support this, but we are making it very clear that it is not compulsory for the festival guest to contribute to or donate.  You must inform the Host if you are bringing a mobile cash machine.  Wifi is available on site.

Planning & Set Up

We ask you to arrive no earlier than 8:30am and no later than 9am.  We will be setting up tables, marquees and the ambience prior to this and so will not be able to support your arrival before 8:30.  

We want to be able to support everything you need and be ready for the doors opening at 10am.  Therefore 8:30 is preferable in case we need to make any last- minute changes. Stall guidance and support will be provided in pack 2, and on the day itself.

We close at 6pm.  Please do not pack your stall away until our last classes have finished and aim to remove all items by 7pm.

  • Facilities for Stall holders 

       The following will be provided:

    • Plugs

    • 1 chair per station

    • Tables 6ft or 3 ft (£10, ot £7)

Additional chairs may be available but cannot be determined until the day itself.

No additional space can be provided - all spaces allocations will be clearly marked however you can select a small table/ no table and use the space for therapy beds/ chairs. Please note that tablecloths are not provided.

There are many plugs available at the venue however please advise if you require one so that we know where to place you.

  • Ambience

Generally speaking, anyone selling a product only will be placed in the retail room, this is so as not to disturb the ambiance in the therapy room.  Some items can be sold there but please be respectful of noise and atmosphere.  If you are intending on selling more than therapy, then you can select the retail room with a small table to allow a chair to fit at the side for therapy.  There will not be space at the side of the table, only behind the table for yourself and friend/colleague.  However, the final location decision will be made by The Host.  We do not want people to avoid the therapy room altogether if therapies are being offered in the main retail space.  We will be playing music from the main speakers for this ambience in the therapy room.

If your needs/ choices change closer to the date, we will do our best to adjust for you but cannot guarantee any changes.   Final decisions on location area will be provided prior to the event for your info, and the actual location will be advised on the day with table numbers and names with a map.

  • Facilities for Talks 

      The Main Hall: 

    • Lectern

    • Flip chart/ paper and pens

    • Projector

    • 200 seats in theatre style

    • Microphone

    • Laptop

It is the responsibility of the speaker to arrive 15 minutes prior to the talk for the handover and checking microphone.

It is the responsibility of the speaker to check audio visual (if using) 48 hours before the festival (latest Friday 5pm on 17th June).  This will be checked with the facilities manager on the equipment provided.  If you are using your own laptop it is also the speaker’s responsibility to check their content is readable on the venue’s projector. 

Further details and instructions will be given prior to the festival in pack 2.

We will attempt to obtain numbers in advance of interest for certain topics to ascertain which rooms people…. Final numbers of participants will be provided on the day. It is up to the speaker to select the desired room, but the room is not guaranteed. the discretion of The Host to decide rooms closer to the festival date.

Food

For your lunch you can book an afternoon tea add on and have this delivered to your stall or at a specified collection point, or you can bring your own pack lunch which you can bring in a cooler bag. More guidance and tips on managing your stall will be provided in our pack.

Parking

Parking will be available on site, however, as this is limited, we ask you to please share where possible.  We will send out extra parking details in advance if we need to provide more spaces based on ticket sales

You will be able to drive up close to the entrance to drop off your items in reception and then choose parking.  Due to limited numbers on the site, we may be providing additional parking close by. If we go ahead with this, we will provide plenty of details and instructions closer to the time.

What if I get Injured?

The Exhibitor authorises and permits The Host the venue’s medical personnel, physicians, paramedics and other medical personnel to administer first aid treatment or any medical treatment or transportation in the event the Exhibitor suffers any illness, accident or injury in connection with the Festival or any other incident occurs following which, in the reasonable judgment of the on-site personnel, he/she requires medical care.

To the extent permitted by applicable law, the Exhibitor agrees that the he/she will pay their own medical emergency expenses, transportation expenses and all subsequent medical expenses which arise out of any illness, accident or injury he/she may suffer as a result of their exhibiting in the Festival.

The Exhibitor agrees that if he/she becomes ill during or after the Festival and receives medical attention or treatment from the Event medical personnel provider, or any doctor or hospital, he/she authorizes such persons to provide their details (including details of medical treatment given to Entrant) to The hosts and/or others authorised by The hosts, subject to maintaining appropriate medical confidentiality, to enable The hosts to prepare a report of the incident and any injury.

Insurance

The Host do not provide the Exhibitor with any insurance, either life, travel, medical or liability, for any illness, accident, injury, loss, or damage that may arise in connection with their participation in or attendance at the Festival, including without limitation the associated activities

Media & Video Release

The hosts and other associated parties authorised by The Hosts may photograph or film the Festival for advertising, promotional or other commercial purposes. The Exhibitor hereby consents and agrees that photographs, film and video may be taken whilst participating in the Festival and associated activities. To the extent permitted by law, the Exhibitor irrevocably grants The host and its associated entities and, where authorised by The host, third party commercial partners, the right indefinitely and throughout the world, without any expectation of compensation, to use the Exhibitor’s photograph, video, image, likeness or other recorded media obtained in connection with the Festival in any media, including, but not limited to television, the internet, magazines, product catalogues and brochures, point-of-purchase videos and displays, and any other printed or written material in connection therewith, for the purpose of advertising, promoting, marketing, and selling the Festival and associated entities products and/or promoting the Festival.

License to use Feedback, Comments and Ideas

The Exhibitor hereby grants to The Hosts a perpetual license to use all comments, feedback and ideas the Exhibitor shares with them, without notice, compensation or prior consent, for any purposes whatsoever, including, but not limited to, developing, manufacturing and marketing products and services and creating, modifying or improving products and services.

19. Other Terms

By Exhibiting in the Festival, the Exhibitor agrees to be bound by these T&Cs and the decisions of The Hosts, which shall be final. Any violation of these T&Cs may result in disqualification of the Exhibitor. 

 

20. Disputes

These T&Cs and any disputes arising in connection thereto shall be governed by and construed in accordance with the laws of England and Wales and shall be subject to the non-exclusive jurisdiction of the Courts of England. If for any reason, a court of competent jurisdiction finds any provision or portion thereof, to be unenforceable, the remainder of these T&Cs will still be applicable and in full force and effect.
